# Using Views to organise and manage your orders

## Create, save and share custom filtered snapshots of any list page in iPify so you can instantly return exactly to the set of orders or cases that matter to you, without having to re-apply filters each time.

📌 **Note:** Views replace the previous Bookmarks feature. Any bookmarks you had saved have been automatically transferred to Views, so nothing has been lost.

### **What is a View?**

A **View** is a saved combination of filters applied to a list page. When you open a View, iPify immediately displays the list filtered exactly as you saved it. Views are available on every list page in iPify, including Purchase Orders, Annuities, Tasks, and more. You can:

- Create as many Views as you need
- Display Views as tabs directly in the page header for one-click switching
- Group Views into named sections
- Share Views with colleagues so everyone works from the same filtered list
- Edit or delete Views at any time

### **Opening the Views menu**

The **Views** button appears in the top-left area of every list page, just below the page title.

Click **Views** to open the Views dropdown. From here, you can:

- Search for a saved View by name
- Select a View to activate it
- Access your saved and grouped Views

💡 **Tip:** If you have many Views saved, use the **Search views…** field at the top of the dropdown to find one by name quickly.

### **Creating a new View**

To create a View, apply the filters you want to save, then give the View a name.

#### Step 1 – Open the Filters panel

Click the **Filters** icon (funnel icon) in the top-right toolbar of any list page to open the filter panel.

Available filters include:

- **Initial official deadline**, In the past / This month / Next month / In 2 months / In 3 months
- **Service**, Filter by service type (for example Annuities, Translations, Validations)
- **Jurisdiction**, Filter by country or territory
- **State**, Filter by order state (for example Pending, Accepted, Closed)
- **Users**, Filter by instructing user
- **Dates**, Custom date ranges
- **Maintenance mode**, Show or hide orders in maintenance

#### Step 2 – Apply your filters

Select the filter values that match what you want to save. The list updates in real time as you apply each filter. Once at least one filter is active, a **Create new view** button will appear in the top-right corner of the page.

📌 **Note:** The filter icon in the toolbar will show a highlight indicator whenever any filters are currently active on the page, even outside a named View.

#### Step 3 – Save as a View

1. Click **Create new view** (top-right, visible once filters are applied).
2. Enter a name for your View (for example *Annuities – deadlines this month*).
3. Optionally, choose a group to file the View under.
4. Toggle **Show as a tab** on if you want the View to appear as a clickable tab in the page header, ideal for Views you switch to regularly.
5. Click **Create view**.

Your new View is now saved and available from the Views dropdown, and, if you enabled **Show as a tab**, as a tab in the page header whenever you return to this list page.

💡 **Tip:** Give Views descriptive names that reflect both the list and the filter, for example, *Annuities – Next month deadlines – DE* is clearer than *My view 1* when you have many saved Views.

### **Switching between Views**

To switch to a different View at any time:

1. Click the **Views** button (top-left of any list page).
2. Select the View you want to open from the dropdown.

The list will immediately update to show only the orders matching that View’s filters.

If you enabled **Show as a tab** when creating a View, it will appear as a tab directly in the page header, simply click the tab to activate that View without opening the dropdown at all.

To return to the full unfiltered list, click **Views** and select **Exit view** at the top of the dropdown, or use the **…** menu on a View tab and select **Exit view**.

### **Saving, reverting and editing a View**

#### Making changes to an active View

When you are inside a saved View and adjust the filters, three buttons will appear at the top-right of the page, and a dot indicator will appear on the View tab to show there are unsaved changes:

- **Save view**: saves your updated filters over the existing View
- **Revert**: discards your changes and returns the View to its last saved state
- **Save as new view**: keeps the original View unchanged and creates a new View with your updated filters

📌 **Note:** If you navigate away from a View with unsaved filter changes, iPify will prompt you to save or discard before leaving.

#### Using the View tab menu

When a View is displayed as a tab in the page header, click the **…** icon on the tab to access the following options:

- **Exit view**: return to the full unfiltered list
- **Remove from tabs**: keep the View saved but stop displaying it as a tab in the header
- **Rename**: give the View a new name
- **Move to a new group**: organise the View into a different group
- **Delete**: permanently remove the View

#### Editing or deleting a View from the dropdown

To rename, re-group, or delete a saved View, open the **…** menu from the Views dropdown and select the appropriate option.

### **Organising Views into groups**

A **group** is a named label you can assign to one or more Views so that they are clustered together under a heading in the Views dropdown. Groups are useful when you have many Views saved and want to keep them organised, for example, grouping all annuity-related Views under *Annuities* and all validation Views under *Validations*.

#### Assigning a group when creating a View

When you create a new View, the **Create view** dialog includes an optional **Group** field. Type the name of an existing group to add the View to it, or type a new name to create a group on the fly.

#### What groups look like in the Views dropdown

Once Views are assigned to a group, they appear together under that group’s heading in the Views dropdown, making it easy to scan and select the right View quickly, even when you have a long list.

#### Moving a View to a different group

To move an existing View into a group (or create a new group for it):

1. Open the list page the View belongs to.
2. Click the **…** icon on the View’s tab, or open the **…** menu from the Views dropdown.
3. Select **Move to a new group**.
4. Enter the name of an existing group or type a new one, then confirm.

#### Removing a View from a group

To remove a View from its group without deleting it, use the **Move to a new group** option and leave the group field empty, this returns it to the ungrouped *Other views* section of the dropdown.

💡 **Tip:** Groups are a great way to split Views by team function, for example, one group for your renewals team and another for your validation team, so everyone finds their Views in a familiar place.

### **Common use cases**

Views are particularly powerful for teams managing high volumes of renewal orders. Here are some common ways customers use Views.

**Track upcoming annuity deadlines.** Create a View filtered to **Service: Annuities** and **Initial official deadline: This month**. This gives you an at-a-glance list of every annuity renewal due in the current month, across all jurisdictions, ideal for daily monitoring.

**Monitor renewals by jurisdiction.** Save separate Views per country or region, for example, *Annuities – Germany – Next 3 months*, so you can quickly focus on specific territories without scrolling through your entire portfolio.

**My pending actions.** Filter by **Users: \[your name\]** and **State: Pending** to create a personal work queue showing only the orders assigned to you that need attention.

**Preparing quarterly reviews.** Build a View with a date range filter covering the quarter ahead and share it with colleagues or account managers. Everyone in the team can open the same named View and instantly see the same up-to-date list.

**Validation monitoring by jurisdiction.** For validation teams, create Views per jurisdiction (for example *EP Validations – France – Pending*) to keep regional workloads clearly separated.

💡 **Tip:** Shared Views update in real time, when a colleague opens a View you shared with them, they always see the current list of orders that match the saved filters, not a historical snapshot.

### **Frequently asked questions**

**What happened to my old Bookmarks?**  
Your bookmarks have been automatically converted to Views. You will find them in your Views dropdown the next time you open a list page. Nothing has been lost.

**Are Views available on every list page?**  
Yes. The Views button appears on all list pages in iPify, including Purchase orders, Annuities, Tasks, and any other list-style page. Views you create on one page are only available on that same page type.

**Can I share a View with colleagues?**  
Yes. Use the share option in the **…** menu of a View to share it with other users in your organisation. Shared Views appear in their Views dropdown as well.

**How many Views can I save?**  
There is no hard limit on the number of Views you can save. We recommend using descriptive names and groups to keep your Views organised as the list grows.

**What is the difference between a group and a tab?**  
A **group** is a named category that organises Views together under a heading in the Views dropdown, it is purely for organisation. A **tab** (enabled via the “Show as a tab” toggle) displays a View as a clickable tab in the page header for one-click access. A View can belong to a group and also be shown as a tab at the same time.

**What does “Show as a tab” mean when I create a View?**  
When you enable **Show as a tab**, your View appears as a clickable tab directly in the page header, alongside the default list view, rather than only in the Views dropdown. This makes it faster to switch to Views you use frequently, with a single click. You can remove a tab at any time using the **…** menu on the tab and selecting **Remove from tabs**; the View itself remains saved.

**What is the difference between “Save view” and “Save as new view”?**  
**Save view** updates the existing View with your new filter settings, replacing the previous version. **Save as new view** keeps the original View unchanged and creates a separate new View with your updated filters.

**Can I export the list of orders shown in a View?**  
Yes. While on any list page, including when a View is active, use the **Export** option (download icon in the top-right toolbar) to download the currently displayed records. The export reflects whatever filters are active at the time, so activating a View before exporting is a quick way to get a focused, consistent extract of your data. Note: a dedicated article on exporting order records is coming soon.

**What happens if I navigate away from a View with unsaved filter changes?**  
iPify will prompt you before you leave, giving you the option to save your changes to the View or discard them and return to the View’s last saved state.

**Do Views affect what other users see?**  
No, unless you share a View, your Views are private to your account. Switching to a View or applying filters does not change what colleagues see in their own sessions.
